1. Who we are

Methodist Central Hall Westminster (MCHW) is a Local Church within the Westminster Methodist Circuit and part of the Methodist Church in Great Britain. Registered charity number 1145076.

This notice covers the activities of Methodist Central Hall Westminster and the Westminster Methodist Circuit only. 2. Who is responsible for your personal data

Like all Local Churches, Circuits and Districts in the Methodist Church in Great Britain, we operate under the Managing Trustees' Privacy Notice published and maintained by Trustees for Methodist Church Purposes (TMCP). That notice is the governing document for how your personal data is collected, used, shared, kept and protected across the Methodist Church, and it explains your legal rights in full.

Read the Managing Trustees' Privacy Notice at tmcp.org.uk/about/data-protection/managing-trustees-privacy-notice. TMCP keeps that notice up to date, so please refer to the online version rather than any saved or printed copy.

In summary, and as set out in full in that notice:

TMCP is the data controller for routine, day to day data protection matters (for example membership records, third party users of church premises and lay employees).The Connexional Team (registered as the Methodist Church in Great Britain) is the data controller for matters concerning safeguarding and complaints and discipline.

This page is our local fair processing notice. It tells you who to contact at MCHW and describes the processing that is specific to this church. It supplements the Managing Trustees' Privacy Notice and does not override it.

4. Our church database (ChurchSuite)

Methodist Central Hall Westminster uses ChurchSuite, a church management system provided by ChurchSuite Ltd, to hold and organise much of the personal data described in the Managing Trustees' Privacy Notice, including contact details, membership and group records, rotas, and communication preferences.

ChurchSuite Ltd acts as our data processor. It processes personal data only on our documented instructions, under a written data processing agreement meeting the requirements of Article 28 of the UK GDPR. Responsibility for your personal data remains with the controllers named in section 2 at all times; our use of ChurchSuite does not transfer it.

Access to our ChurchSuite account is limited to authorised staff and church officers on a need to know basis. Through the member-facing My ChurchSuite service you can also view and update your own details and manage your communication preferences at any time. Details of the security, hosting and back-up measures ChurchSuite applies are published by ChurchSuite on its website at churchsuite.com, and we keep our arrangements with them under review.

5. Processing specific to MCHW

The purposes, lawful bases, categories of data, sharing, retention and security arrangements for all of the following are as set out in the Managing Trustees' Privacy Notice. The points below tell you how they apply in practice at MCHW.

Worship, livestreaming and photography. Our services are livestreamed and recorded, and recordings are made available online, including through our website, YouTube channel and podcast. Cameras are primarily focused on those leading worship from the platform. If you would prefer not to appear on camera, please speak to a steward on arrival, who can advise you where to sit. Photography at church events is covered by the Image Data provisions of the Managing Trustees' Privacy Notice; if you would prefer not to appear in photographs, please tell the photographer or a steward.

Email news (Grapevine). We send our Grapevine email newsletter and other event information to those who have asked to receive it or who have a continuing relationship with the church, on the bases described in section 4 of the Managing Trustees' Privacy Notice. Every email includes an unsubscribe link, and you can change your preferences at any time through My ChurchSuite or by contacting the Local Contact.

CCTV. The CCTV systems at our premises are operated by Central Hall Westminster Ltd as building operator, and Central Hall Westminster Ltd is responsible for that footage. All internal and external cameras are clearly visible, and CCTV is used primarily for the security and safety of staff and visitors to the building. Our website and cookies. Our website collects limited technical data as described in the Managing Trustees' Privacy Notice. This notice also serves as our cookies policy, set out in section 6 below.

6. Cookies

Cookies are small text files placed on your device when you visit a website. Our website uses them as follows.

Essential cookies. These are needed for the website to function, for example to remember that you have seen our cookie message. They do not identify you personally and cannot be switched off within the site.

Analytics cookies. We use Google Analytics to understand how visitors use our website, for example which pages are most visited and how people find us. The information collected is aggregated and does not directly identify you. Google Analytics cookies are set only where you accept them through our cookie message, and Google's use of this data is governed by its own privacy policy at policies.google.com/privacy. You can also opt out of Google Analytics across all websites using Google's browser opt-out tool.

Third party content. Some pages include content served by third parties, such as embedded YouTube videos, our podcast player, ChurchSuite event and form embeds, and social media sharing buttons. These providers may set their own cookies when you interact with that content, and their use of cookies is governed by their own privacy and cookie policies, not ours.

You can set your browser to refuse some or all cookies, or to alert you when a website sets or accesses them. If you disable cookies, some parts of our website may not function properly.

7. Your rights and how to complain

Your legal rights, including access, rectification, erasure, restriction, objection and withdrawal of consent, are set out in full in section 9 of the Managing Trustees' Privacy Notice, together with the process for making a subject access request.

If you wish to complain about how your personal data has been handled, please contact the Local Contact in the first instance. You can also contact TMCP at dataprotection@tmcp.org.uk, and you have the right to complain to the Information Commissioner's Office at any time (ico.org.uk, telephone 0303 123 1113).

8. Changes to this notice

We review this notice regularly and whenever TMCP updates the Managing Trustees' Privacy Notice. Because the governing document is maintained by TMCP, most changes to how the Methodist Church handles personal data will appear there first.
